The Role of a Coordinator

What all does a Coordinator do?

The role of a coordinator is more than just the day of the wedding.

We hear this question a lot… can the day-of coordinator just come the day of the wedding? The short answer is “no,” but we want to share with you why the job of a coordinator starts several weeks before the big day. Here at Sacred Rim Event Planning, we offer Two Month Coordination Packages. We find that coming along side the couple two months before their wedding day is not only beneficial for the couple, but for everyone involved.

Lot’s of planning and many important decisions have already been made in the planning process. However, on the wedding day the coordinator is the go to person. They have to be capable of directing guests, vendors, and the wedding party, as well as keep everything running on schedule. The coordinator is able to keep everything running smoothly only by understanding the vision for the big day. Two months is ample time to tie up loose ends with the vendors and make sure everyone is on the same page.

For the coordinator, the first act of business is to discuss the vision with the couple, gather all the details for their big day, collect contracts, and then reach out to all the vendors. Communication with vendors is very important. We want to make sure that what the couple believes they are getting is exactly what the vendor will be providing. In addition to connecting with all the vendors, we visit the wedding venue to make sure we are familiar with the space and where the ceremony and reception will be taking place. Once we have all the details, we create a custom timeline for everyone involved in the big day. As a coordinator, we believe that our job is to make sure all the vendors are working as a team. We are all in this together to make sure the couple’s vision comes to life. Working as a team is one very important step in making their dream a reality. In addition, the coordinator not only coordinates the entire wedding day, but also runs the ceremony rehearsal to make sure that everyone knows where to be and what time they will need to be ready.

A day-of coordinator’s job is to help make sure your day runs smoothly. In order to do so, we have to come along side before the wedding day to make sure we have all the details in order to commit with confidence that your day will be just as you dreamed.
